    Terms and Conditions:

     

    1. Definitions

    1.1 Agreement means these Terms and Conditions.

    1.2 Delegate means an individual who takes part at the Event. Delegate includes a substitute in accordance with clause 3.3.

    1.3 Event means the event organised by Citywire that the Delegate agrees to attend.

    1.4 Ticket means a valid pass issued by Citywire that grants the Delegate the right to attend and participate in the Event.

    1.5 Venue means the location where the Event takes place.

     

    2. Provision of services

    2.1 After completing payment for a Ticket, the Delegate will receive an electronic confirmation of purchase. The actual Ticket granting access to the Event will be issued and sent closer to the Event date.

    2.2 Travel to and from the Event and accommodation arrangements shall fall under the Delegate’s responsibility and Citywire shall not reimburse any costs incurred by the Delegate.

    2.3 The Delegate shall not access the rooms used for the Event or the supply of services before the time specified by Citywire.

    2.4 The Delegate shall vacate the Event rooms or area by the time specified by Citywire and in the event that they do not, the Delegate shall be responsible for any additional charges incurred.

    2.5 During the Event the Delegate shall follow the instructions and directions on hygiene and/or social distancing set out by the Venue and Citywire in accordance with the rules or recommendations imposed or issued by a governmental authority (national or local).

    2.6 Under any circumstances travelling to the Event and attendance at the Event shall always fall under the full responsibility of the Delegate and are at the Delegate’s sole risk.

    2.7 Citywire processes Delegate personal information in accordance with the Citywire Privacy Policy.

    2.8 We may provide an events app to view event itineraries, schedules, and connect with fellow Delegates and sponsors. Access to and use of the app is subject to these Terms and Conditions and the Events Code of Conduct, and we reserve the right to suspend or remove access at any time at our discretion.

    2.9 Delegate badges may contain RFID tags to log session room entry and duration for analytics, profile enrichment, and sharing attendance lists with hosts under our legitimate interests. Please see our Privacy Policy for more details.

     

    3. Entry to the Event

    3.1 Tickets for the Event must be purchased exclusively through Citywire’s official online platform, using a secure payment system. Payment can be made by debit or credit card, and confirmation of purchase will be provided electronically.

    3.2 All Ticket prices are exclusive of VAT. VAT will be charged at the prevailing rate and added at checkout.

    3.3. All Ticket sales are final. Tickets are non-refundable under any circumstances, including non-attendance, unless otherwise required by applicable law.

    3.4 A Ticket is personal to the Delegate and may not be resold or transferred. Transfer to another individual is permitted only with the prior written consent of Citywire, which may be granted at its sole discretion. Requests for transfer must be submitted in writing no later than seven (7) business days prior to the Event.

     

    4. Cancellation

    4.1 Citywire reserves the right, in its sole discretion, to exclude or remove any individual from the Event at any time if it reasonably determines that the Delegate or their employer is engaged in activities that conflict with the best interests of the Event, appear to be unethical or may constitute a breach of law or Citywire’s Code of Conduct.

    4.2 In the event of cancellation pursuant to clause 4.1, Citywire shall not be held liable to the Delegate for any form of special, direct, indirect, or consequential loss or damage incurred by the Delegate due to the cancellation. No refund will be issued for the Ticket.

     

    5. Code of Conduct

    5.1 Delegate shall comply with Citywire’s Events Code of Conduct. Failure to adhere to the Events Code of Conduct may result in Delegate’s removal from any Event and being barred from future Events. Citywire assumes no liability for any costs incurred or other consequences as a result of such removal or ban.

     

    6. Liability

    6.1 Nothing in this Agreement limits or excludes Citywire’s liability for death or personal injury caused by its gross negligence, fraud or fraudulent misrepresentation or any other liability which cannot be limited or excluded by applicable law.

    6.2 Subject to clause 6.1, Citywire shall not be liable to the Delegate, whether in contract, tort (including, but not limited to, negligence), for breach of statutory duty or otherwise, arising under or in connection with this Agreement for loss of profits, goodwill, business opportunity, anticipated savings, loss of use or corruption of software, data or information or any type of special, indirect or consequential loss or damage.

    6.3 Citywire, its employees or agents shall not be responsible for any loss, theft or damage to the property of the Delegate during the Event.

    6.4 The Delegate shall not be entitled to bring a claim and Citywire shall not be liable to the Delegate in case the Delegate contracts COVID-19, any other virus, infection or disease during the Event.

    6.5 The Delegate shall indemnify, defend and hold Citywire harmless from and against all damages, liabilities, obligations, losses, costs, charges, penalties, fines and expenses arising out of a breach of this Agreement or the Event Code of Conduct, or in connection with the Event and the Delegate’s participation in it except where incurred or sustained by the Delegate as a result of any damages or injury caused by the negligence of Citywire or the official contractors appointed by Citywire.

    6.6 Failure of Citywire to insist upon strict performance by the Delegate of any of these Terms and Conditions shall not operate as a waiver or otherwise release or in any way affect the liability of the Delegate under these Terms and Conditions.

     

    7. Changes to the Event

    7.1 Citywire reserves the right to alter the content of the programme, timings and Venue of the Event.

    7.2 In the event the Venue shall, at Citywire’s sole discretion, become unfit or unavailable for occupancy, or shall be substantially interfered with, by reason of fire, flood, tempest or any other such cause or as a result of government intervention, malicious damage, acts of war, strike, lock-out, labour dispute, riot or any other causes or agency over which Citywire has no control or should Citywire decide that owing to any such cause or agency it is necessary or advisable to cancel, postpone or resite the Event or reduce the planned period for preparation, display or dismantling, Citywire shall not be liable for any direct or indirect damage or loss incurred by the Delegate. If the Event is cancelled, any fees paid will not be refunded; however, the Delegate will be issued a credit equal to the amount paid, which may be applied to a future Event within twelve (12) months of the original Event date.

     

    8. Prevention of Sexual Harassment & Delegate Conduct

    8.1 Citywire is committed to providing a safe, professional, and respectful environment for all Delegates, staff, speakers, and Venue personnel. In compliance with our legal duty to proactively prevent sexual harassment, this policy applies to all Event attendees across all official Event spaces, breakout sessions, exhibitions, and company-hosted social or evening events.

    8.2 Attendance at our Events is contingent upon professional conduct. We operate a zero-tolerance stance toward sexual harassment. Sexual harassment is defined as any unwanted conduct of a sexual nature that violates an individual’s dignity or creates an intimidating, hostile, degrading, humiliating, or offensive environment.

    Unacceptable behaviours include, but are not limited to:

    • Unwelcome physical contact, cornering, or invading personal space.
    • Sexually suggestive comments, inappropriate jokes, flirtation, or remarks about appearance or body.
    • Persistent, unwelcome social or romantic advances during or after Event hours.
    • Displaying, sharing, or sending inappropriate, suggestive, or explicit digital content.
    • Using client or professional status to pressure staff or other Delegates into unwanted interactions.

    8.3 Citywire staff are strictly authorised to remove themselves immediately from any situation or conversation involving a Delegate that makes them feel unsafe, uncomfortable, or harassed. No employee will face adverse professional consequences or disciplinary action for reporting or removing themselves from an uncomfortable interaction with a client or Delegate.

    8.4 If you experience, witness, or are informed of inappropriate behaviour:

    • Report directly to the designated Event Manager.
    • Submit a report via whistleblowing@citywire.co.uk – this address might change in the future.
    • All reports will be logged, treated with strict confidentiality, and investigated promptly. Retaliation against anyone raising a concern is strictly prohibited.

    8.5 Delegates who fail to adhere to these standards face immediate action at the sole discretion of Citywire management, including:

    • A formal verbal or written warning to immediately cease the behaviour.
    • Immediate revocation of Event credentials and badge, followed by ejection from the Venue without refund or liability.
    • Formal notification of the incident to the Delegate's employer or executive management.
    • A permanent ban from all future Citywire Events, webinars, and hosted functions.
    • Referral to local law enforcement where appropriate.

     

    9. Governing Law and Jurisdiction

    9.1 This Agreement and any dispute or claim arising out of or in connection with this Agreement or its subject matter (including, but not limited to, non-contractual disputes or claims) shall be governed by and construed in accordance with laws of England and Wales and Citywire and Delegates hereby submit to the exclusive jurisdiction of the English courts.
